tangoanalytics.com 2 CASE STUDY: FERGUSON STREAMLINING HYBRID WORK AND COLLABORATION After a strenuous review process, Tango Reserve by AgilQuest was selected by Ferguson to help create a manageable and easy-to-access Hybrid Workplace. While most associates still worked from home, many found it necessary to return to the office on an as- needed basis or for specific departmental needs. Some teams required access to in-office tools and technology, while others needed more access to cross-functional collaboration time. Reserve gave them an easy way to see where their teammates were and to find the workspace or collaboration space that fit their needs while in the office. Returning to the office didn't come without regulations and considerations for the health and safety of employees. Physically distancing, cleaning, and capacity restrictions had to be considered and managed. With Reserve in place, Ferguson could easily control which spaces were available, provide time for cleaning and sanitization between use, and have access to contact tracing reports when needed. ENGAGING USER ADOPTION THROUGH EDUCATION Implementing a new software is the easy part, getting your associates to use the tool is an entirely separate process that can't be overlooked. Ferguson made it a priority from the very beginning to ensure associates not only knew how to use Reserve, but also had a place to provide input into how it would be used. They set up a series of short Hoteling 101 and Conference Room 101 training sessions that encouraged feedback and input. Not only did these sessions give the users confidence in how to work in a new way and how to use the supporting technology, but it also provided an opportunity to ask questions and gain buy-in. One unexpected outcome was that users even brought different perspectives to ways in which Tango Reserve could be used to create a more efficient workplace. THINKING OUTSIDE THE BOX While meeting room booking for basic collaboration was a prime use case for Ferguson, they also host more complex events in their meeting space, which includes about a dozen divided rooms. And while the rooms can be booked the same in Reserve, events have many more elements to be considered. Ferguson realized they could use the Reserve platform in a unique way to not only manage events more efficiently, but also help culturally transform the way associates think about them. They took a step back to capture all the essentials of an event and found they typically included some combination of services, equipment, and in-person support. They decided they needed a "shopping cart" of services that associates could select all at once for each event to make event management much more efficient. Using the Dynamic Assets feature in Reserve, Ferguson attached certain services, equipment, and required support to specific event spaces. For example, while someone is booking Event Room A, they are only shown the services such as configurations, equipment such as Surface Hubs, and support options available for that particular room. What really sets this use case apart is the out-of-the-box thinking that led them to use the Services feature to make an IT Support person available for "booking" in certain event spaces. With all the elements that make up a great event available in one place, associates can feel confident their event will run smoothly, and Ferguson can celebrate efficiency and operational savings found in an unexpected way! As Ferguson rolls out Reserve to their other locations, they expect to instill a culture of flexibility while still maintaining control and efficiency for their hybrid workforce.
